The origin and collaboration with CloudAdvies

In 2014, when Navara was still a relatively small company with around 40 employees, there was a need for a robust customer relationship management (CRM) solution. In search of a partner who could help optimize their work processes, they came into contact with CloudAdvies. CloudAdvies, a specialist in implementing and optimizing cloud-based business solutions, suggested using Zoho CRM, in combination with other Google and Zoho products.


What started as an implementation of a CRM system quickly developed into a strategic partnership. As Navara grew – eventually becoming a successful organization with approximately 300 employees – the company’s needs evolved. This required not only a scalable IT infrastructure, but also the ability to continuously improve business processes and adapt to new challenges.


The growth and development of IT Solutions

The collaboration between Navara and CloudAdvies is characterized by a step-by-step approach to growth and optimization. Where in the beginning the focus was mainly on setting up basic business processes, such as CRM and simple reporting tools, these solutions quickly evolved into more complex systems that support company-wide processes.


An example of this transformation is the development of a comprehensive Business Intelligence (BI) solution. Where Navara initially settled for simple reporting, the need soon arose for in-depth analyses and management reports that provide insight into the performance of the entire company. Using Zoho Analytics, CloudAdvies helped Navara gain insight into critical business data, from strategic level to operational details.



The solution

One of the most impactful solutions CloudAdvies has developed concerns Navara's core process: seconding top IT talent. This process is crucial to Navara's success and requires accurate and efficient handling of various steps, from recruitment to invoicing.


1. Recruitment and onboarding

The process starts with the recruitment of new candidates. Once a candidate is recruited with Zoho Recruit and the contract is signed, the onboarding process starts. Thanks to the integration with Zoho CRM, the new employee is automatically registered as a "product". This means that all relevant information is immediately available to the sales team, who will start looking for suitable assignments.


2. Sales process

The sales team uses the extensive tools and information in Zoho CRM to find a suitable assignment for the new employee. All relevant data about the consultant, such as skills, availability, and previous experience, are automatically displayed and pushed within the CRM system. This ensures an efficient and targeted approach to prospects.


Once a match is found, the assignment is formalized via a blueprint in Zoho CRM. This process includes automatic verifications and digital signatures, allowing the assignment to be converted directly into a project in Zoho People. This seamless transition ensures that the new employee can start working without delay.


3. Time registration

After project creation, the employee receives a notification and can immediately start registering hours on the project. These hours are then monitored and checked by the system, comparing them with the hours provided by the customer. This ensures accurate and reliable time registration.


4. Hours control and invoicing

At the end of the week or month, the hours check takes place. The system compares the registered hours with the customer data and after approval, this data is automatically forwarded to Zoho Invoice. Here, the finance department starts the invoicing process, where the timesheets are easily converted into invoices. These invoices are supplemented with the necessary documentation from the consultant, such as time overviews and customer confirmations.


5. Billing and accounting

Invoices can be transferred directly from Zoho Invoice to an accounting package such as Exact or AccountView. This ensures a seamless integration with the accounting, minimizing manual errors and reducing the administrative burden.


6. Reporting and analysis

By implementing Zoho Analytics, Navara has access to comprehensive reporting and dashboards. These tools provide insight into the entire process, from strategic overviews at the company level to detailed analyses of individual timesheets. This enables management to make informed decisions based on real-time data and trends.

Background


Ledgnd, a fast-growing company in the cash consulting industry, was experiencing challenges managing their customer relationships, sales processes and financial operations. As the company grew, the need for a more integrated and efficient system became clear. They needed a solution that could streamline their operations, improve sales processes and automate the invoicing process.


Challenge

Before Ledgnd came into contact with CloudAdvies, the company had been using Zoho for quite some time. Instead of using Zoho CRM to create quotes and manage recurring invoices, Ledgnd chose a different route. This led to inefficiencies, especially in sales management and customer service. The sales team struggled with manual processes for creating quotes and there was no central system to effectively manage the sales funnel. In addition, the invoicing process was time-consuming and error-prone, and the accounting team experienced problems with synchronizing invoices with their financial software, Exact.


Solution
Ledgnd partnered with CloudAdvies to optimize the use of Zoho One. The solution included the following key implementations:

  • Zoho CRM:

    • Enhanced Sales Management: The sales team now uses Zoho CRM to manage leads, opportunities, and deals more effectively. The sales funnel helps the team track the progress of each deal and identify areas that need attention.
    • Automated Quote Creation: Zoho CRM was customized to enable quote creation directly within the CRM. This not only reduced the time taken to generate quotes but also ensured accuracy and consistency.
  • Zoho Desk:

    • Enhanced Customer Support: Zoho Desk was implemented to manage customer queries and support tickets. The support team now has a central system to track and resolve issues, resulting in faster response times and higher customer satisfaction.
  • Zoho Billing:

    • Streamlined Billing Process: Zoho Billing was set up to automate the billing process, reducing manual work and minimizing errors. This allowed Ledgnd to manage subscriptions, generate invoices, and process payments more efficiently.
  • Exact integration:

    • Seamless Accounting Integration: CloudAdvies developed a custom integration between Zoho Billing and Exact, allowing invoices to be synced directly with Exact's accounting software. This integration eliminated manual data entry, ensuring that Ledgnd's financial data is always up-to-date.
